The Three-Tier Setup
Tier one: dictation everywhere. Turn on dictation on your phone and computer, and make it a habit for first drafts. This costs nothing and recovers hours.
Tier two: the voice note pipeline. Record a voice note after every meeting or idea. Pipe recordings into a workflow that transcribes, summarizes, and files them — action items to your task list, follow-ups to your drafts folder.
Tier three: voice agents. A phone number or app you talk to that actually does things: books the appointment, sends the intake form, answers the FAQ. This is where a practice starts to feel staffed.
A Day With the Pipeline
Between patients or meetings, you record thirty seconds: "Sarah wants the Thursday slot, send her the new-client paperwork, and remind me to ask about her insurance." By the time you're back at a desk, the paperwork is drafted, the reminder is set, and the calendar hold exists.
